Secretary Location: Foresterhill Road, Aberdeen Temporary: 12 months Full-time, 37.5hrs weekly Salary: £12.13ph Pertemps Dundee are recruiting on behalf of our client, a well-known Public Sector organisation, for an experienced Secretary to start immediate 12 month temporary contract. This is a full-time position between Monday – Friday – 8.30 am – 4.30 pm. Office is based in at Rosehill Annnex, Foresterhill Health Campus, Aberdeen. The main purpose of the role is to provide a fully comprehensive project secretarial service to the Baird and ANCHOR Project Team (comprising management, technical and clinical team members). Key role for communication between all team members and stakeholders, ensuring confidentiality at all times and facilitating project processes. Main Duties: Provide a fully comprehensive secretarial and PA service to the Project Team Act as the key person in the Project Team office, alongside Project Team Secretary colleague, to ensure effective communication within the Project Team Responsible for monitoring and managing the diaries. This requires scheduling, organising and co-ordinating meetings with a range of professionals and agencies to meet project priorities. Book venues, organise equipment and hospitality as required Responsible for word processing of reports, letters, tables, minutes of meetings, presentation slides and other materials as required by the Project Team Support project meetings fully: arrange venues, prepare agendas, compile and distribute minutes and notes of meetings. Act as a point of contact for attendees, accepting and noting apologies, collation of information for discussion, co-ordination of equipment and hospitality as delegated. Maintain Project Team databases Schedule and plan work in the short/medium term to ensure Project Team members are able to access support as necessary and prevent reactive rescheduling for urgent situations Co-ordination of external meetings and visits and arrangement of travel and accommodation if necessary Management of mail and telephone enquiries, either dealing with these personally or ensuring they are dealt with by the appropriate member of staff Alert team members of forthcoming meetings so that any actions can be accomplished, minutes finalised etc To be considered for this role, you must have the following: Proven and sustained previous secretarial experience.
